Terms of Use & Academic Charter

Mandatory Statutory & Trademark Disclaimers

1. Independent Preparatory Academy: Gene Academy (operated by Geneacademy Co. Ltd.) is an independent supplemental medical education, clinical simulation, and diaspora mentorship initiative. Gene Academy prepares candidates for national and international medical examinations. Gene Academy is NOT the Sudan Medical Council (SMC) or the Sudan Medical Specialization Board (SMSB), does not claim state statutory powers, and does not issue legal licenses to practice medicine.

2. National Identity Decoupling (SudaPass Notice): Gene Academy's digital verification system, GA-Pass (GA-ID), is an independent educational registry designed solely to verify course completions, clinical simulation logbooks, and academic telemetry. It is NOT affiliated with, nor does it represent, the Republic of Sudan's official national digital identity system (SudaPass), launched May 21, 2026 by the Ministry of Digital Transformation and Communications.

Applies to all paid programs booked through geneacademy.net

These terms explain what happens if you need to cancel, reschedule, or if we or one of our training partners need to cancel a program. We've tried to write this in plain language. By registering and paying for any Gene Academy program, you agree to these terms.

1. Programs Covered

2. Cancellation & Refunds — Candidate-Initiated

No-show, no written notice No refund and no automatic transfer. We understand emergencies happen — contact us as soon as you can and we'll do our best to accommodate, but this is not guaranteed.
Digital self-paced modules Refundable in full within 48 hours of purchase, provided the module has not been substantially accessed (more than 20% of content viewed). After that, non-refundable, since access is granted immediately.

3. Emergency Clinical Duty Exception

We recognize that many candidates are practicing doctors or clinical students who can be called into mandatory, unscheduled hospital or on-call duty with little notice — including inside the 7-day window.

If your assigned clinical duty conflicts with a confirmed workshop or resident block date, you are entitled to one guaranteed, free seat transfer to the next available cohort, regardless of how close to the start date you notify us — provided you:

  • Notify us in writing (email or WhatsApp) as soon as you are aware of the conflict, and
  • Briefly state the nature of the conflict (a formal letter or proof is not required, but may be requested if this exception is used repeatedly).

This exception may be used once per candidate per program. It guarantees a transfer, not a cash refund.

4. Cancellation or Postponement by Gene Academy or a Partner Facility

If Gene Academy, or one of our partner facilities (e.g., the Dokki simulation hub, Ain Shams Faculty of Science, Crystal Diamond Academy), cancels or postpones a confirmed program for any reason — including insufficient enrollment, instructor unavailability, facility issues, or force majeure — you may choose either:

  • A 100% immediate refund, processed within 10 business days, or
  • Priority transfer to the rescheduled date or next cohort, with your seat held ahead of new registrants.

This choice is yours, not ours. We will notify you in writing as soon as we know a program is affected.

5. How to Request a Cancellation, Refund, or Transfer

All cancellation, refund, and transfer requests must go through our single official intake channel — this protects both you and us by keeping a clear, timestamped written record:

Requests made through any other channel (personal numbers, social media DMs, informal messages) will not be considered valid for the purposes of this policy. Please always request in writing so there is a record of the date and reason.

6. What This Policy Does Not Cover

  • Personal Travel & Lodging: Travel, visa, accommodation, or other personal costs you incur to attend a workshop or resident block. Gene Academy is not responsible for these regardless of cancellation or rescheduling.
  • Professional Licensure Disclaimer: Completion of a Gene Academy program does not itself confer a medical license, board certification, or formal university degree. Certificates reflect attendance and/or assessed competency in the specific skill taught (e.g., AHA BLS Provider status where applicable), not a professional qualification.
  • Force Majeure & Conflict Disruptions: Circumstances genuinely outside anyone's control (e.g., war-related travel disruption, infrastructure failure, government restriction) may affect scheduling. In such cases, Section 4 (priority transfer or refund) still applies — we will not keep your payment for a program that cannot run.
Our commitment: We will never keep payment for a seat we cannot deliver. If in doubt about your situation, contact us before the program date — we would much rather work out a fair transfer with you than have you find out about a problem after the fact.

7. Governing Terms & Contracting Entity

These terms are structured as follows:

  • Digital services and international bookings (self-paced modules, GA-ID telemetry access, and any program booked and paid for in GBP, USD, or EUR) are contracted with Gene Academy Ltd, a company registered in England and Wales, and are governed by the laws of England and Wales. Any dispute arising from these bookings falls under the jurisdiction of the courts of England and Wales.
  • In-person workshops and resident bench blocks delivered in Cairo, where booking and payment are made locally in Egyptian Pounds, are delivered under license from Gene Academy Ltd by our registered Egyptian training and facility partners. For these bookings, local venue conditions — including facility access, in-person conduct, and any dispute specific to on-the-ground delivery — are governed by the laws of the Arab Republic of Egypt.

Regardless of which entity or jurisdiction applies to your specific booking, the refund, cancellation, and emergency clinical reschedule protections described in Sections 2 through 4 of this policy apply equally and are not reduced by this structure.
